Incentives — Rebates
Bring structure to purchase rebate programs
Give your team a clearer way to manage purchase incentives: define program terms, review claims and track award records. Rebates focuses on the purchase that qualifies and the benefit due under the program.

For teams running purchase incentives
Rebates is designed for brands and program operators who need a consistent way to administer benefits tied to qualifying purchases.
- Program owners defining eligible purchases and benefit amounts.
- Review teams checking claim details and missing information.
- Finance teams reconciling approved awards with their payment process.
Keep program terms connected to review
A submitted receipt is only the start. Your team needs to determine whether the purchase qualifies, what benefit applies and what still needs attention.
- Keep program versions and benefit schedules explicit.
- Give incomplete claims a clear request for information.
- Keep an award decision separate from evidence of payment.
How it helps your team
Define rebate program versions with eligibility rules and a benefit schedule.
Confirm purchase dates, submission deadlines and exception handling for your program before rollout.
Review rebate claims, approve or reject them, and request missing information with a reason.
Claim approval and the resulting award record are separate from payment.
Track award records, recorded fulfillment attempts and outstanding amounts by program.
BrandFlex does not move money. Your finance team handles payments; a recorded status is not proof that a recipient has been paid.
A purchase rebate has its own job
Co-op, Rebates and SPIFFs address different reasons for an incentive. They can be enabled separately.
- Rebate
- A benefit tied to a qualifying purchase under your program terms.
- Co-op & MDF
- Funding and reimbursement for eligible partner marketing activity.
- SPIFF
- An incentive tied to qualifying sales activity by an eligible seller.
- Award and settlement
- An award records the approved benefit. Confirmed settlement requires evidence from the payment process; approval alone is not payment.
A rebate program in practice
A program team is preparing a purchase promotion and its claim review process.
Illustrative workflow, not a customer record or screenshot. The complete submission and confirmed-settlement journey remains in development.
1 · Program owner
Define the qualifying purchase
Prepare program terms, eligibility rules and the benefit schedule. Confirm purchase and claim submission deadlines.
2 · Reviewer
Review the claim against its terms
Check the submitted information, request what is missing and record the decision.
3 · Finance team
Reconcile the award with payment
Use award records alongside your external payment process. Verify payment evidence before treating the benefit as settled.
Start with a clearly defined promotion
Prove one program from its terms through review and payment reconciliation before widening the rollout.
- Choose the qualifying purchases, intended claimants and benefit schedule.
- Agree on required evidence, deadlines and reviewer responsibilities.
- Verify submission, review and exception handling with representative claims.
- Confirm the finance handoff and how actual payment will be evidenced.
Common questions
Do we need Co-op or SPIFFs to use Rebates?
No. Rebates is a separate product. You can discuss it on its own or as part of the Incentives Suite, which brings Co-op, Rebates and SPIFFs together commercially.
Does BrandFlex send the rebate payment?
BrandFlex does not move money. Your finance team handles payments. Award and fulfillment records do not by themselves prove that a claimant has been paid.
Can our program serve consumers and businesses?
Tell us who will claim. Individual and business claimant journeys, required information and permissions need to be confirmed against the open release scope before rollout.
Can a rebate have a different claim deadline from its purchase period?
Bring both dates to setup. Purchase eligibility, filing deadlines and late exceptions are distinct program decisions; their complete handling still needs release acceptance.
What should we confirm before rollout?
- Claimant journey
- Confirm whether your program serves individuals or businesses, the information each submits and the access they need.
- Dates and exceptions
- Define purchase eligibility, submission deadlines, late claims and any partial approvals. Confirm supported handling before rollout.
- Payment process
- Agree on the finance owner, external payment method and evidence needed to confirm settlement.
